Mediation conditions SME Portal Maastricht University concerning internship and research assignments

General
For the execution of an assignment in which the SME Portal, the client and a partner are involved, the mediation conditions of the SME Portal Maastricht University apply. Departure from these conditions is only possible when this has been agreed between all concerned parties.  
Specific agreements about the assignment that is to be realized will be made during the intake and will be established in letters of agreement that will be formulated and distributed among all concerned parties by the mediator of the SME Portal.
These letters of agreement and the mediation conditions together constitute the framework within which the research or internship assignment will be carried out.

Contribution of the SME Portal; the SME Portal:

• has a mediation and guidance task before and during the assignment;
• evaluates the suitability of an assignment submitted in writing for realization by  Universiteit Maastricht;
• completes the assignment description in an intake asks the client for confirmation;
• makes sure that the complete assignment description provides sufficient foundation for the realization of the assignment;
• is responsible for the administrative coordination of the assignment;
• seeks within the university for internal partners suitable for the assignment and invites them to make a bid;
• brings the client in contact with the partner of his choice;
• ensures that before the start of the assignment clear agreements have been made about the assignment that is to be carried out;
• ensures that these agreements are established in writing and distributed among all concerned parties;
• ensures that during the assignment:

- there is a good contact between the client and the internal partner;
- an interim evaluation talk takes place;
- mediation or assistance is offered in case problems occur.

• ensures that the assignment is carried out properly;
• ensures that the assignment is concluded with a final evaluation.

Contribution of the client
The client commits himself to actively contributing to the assignment. Cooperation of the client is expected in:

• making the assignment concrete, and undertaking activities, where necessary, for the preparation of the assignment;
• collecting and timely providing information for the assignment;
• designating a contact person in the company, who will act on behalf of the company and act as a coach during the execution of the assignment;
• making available the time and manpower that are necessary for the execution of the assignment;
• making available facilities to the person who carries out the assignment (if necessary);
• filling in the interim and final evaluation;
• paying the costs of  the project as described in the project proposal attached to the contract.

The client is responsible for the correctness and completeness of the data he provides.

Contribution of the internal partner
The internal partner is responsible for the execution of the assignment. Staff will be recruited from the student body of Maastricht University. The internal partner is expected to:

• use the intake form as a basis for the bid and the subsequent procedure;
• agree with the administrative coordination of the SME Portal;
• carry out the assignment in accordance with the agreements and the agreed time schedule;
• designate a permanent contact person who acts on behalf of the partner;
• inform the mediator of the SME Portal as soon as possible in case of problems and delays regarding the assignment of in case the description/objective of the assignment changes;
• inform the SME Portal upon request about the state of affairs regarding the project;
• cooperate with regard to the interim and final evaluation.
