Cancellation Policies

Registration

1. Cancellation of registration before 15 June 2004: 50 % refund of registration fee
2. Cancellation of registration after 15 June: 0% refund of registration fee
   
   Although refunds are no longer possible after 15 June, the registered participant may propose a replacement; acceptance is possible if the Conference and Events Office has been informed in writing in advance.
   

Hotel Booking

1. Payments for all booked days are always guaranteed, even in the case of a so-called "no-show". If the guests pay for their own stay, they are required to provide a credit card guarantee.
   Any cancellations should be notified to the Conference and Events Office (C&EB) in writing. The cancellation date is the date on which the C&EB receives the cancellation.
2. The guests receive a booking confirmation from the C&EB by e-mail, fax or post.
3. The special rates only apply if the C&EB makes the booking directly at the hotel, and are non-transferable to third parties or intermediaries.
4. The rates for overnight stays include breakfast (unless stated otherwise), excluding city tax (ca. € 1.80 – € 2.20).
5. Reservations can only be made on the basis of availability.
6. The reservation conditions are similar to the Uniform Conditions Hotel and Catering Industry:
   For cancellations made more than 3 months before the time on which the first hotel service would be made, pursuant to the hotel agreement in question, the client is not obliged to pay any fee to the C&EB.
   For cancellation of a reservation more than 2 months before the date of commencement, the client is obliged to pay 15% of the booking value to the C&EB.
   For cancellation of a reservation more than 1 month before the date of commencement, the client is obliged to pay 35% of the booking value to the C&EB.
   For cancellation of a reservation more than 14 days before the date of commencement, the client is obliged to pay 60% of the booking value to the C&EB.
   For cancellation of a reservation more than 7 days before the date of commencement, the client is obliged to pay 85% of the booking value to the C&EB.
   For cancellation of a reservation 7 days or less before the date of the commencement, the client is obliged to pay 100% of the booking value to the C&EB.
